Club dues are the payments members make to a club they belong to, usually each year, term or month. They differ from a one-time initiation fee, an extra charge for one cost, a donation and a fundraiser. A club with $480 of yearly costs and 24 members can set annual dues at $20 a member.

Key points:
- Dues are the regular payment for belonging to a club. Cambridge Dictionary lists annual, monthly and quarterly dues.
- Four common structures are flat annual, per term, per event and tiered by member type.
- On $480 of yearly costs, 24 members pay $20 each. Four terms of $5 raise the same $480.
- Dues usually pay for space, insurance, supplies and events. Write the breakdown so members can see where the money goes.

## What are club dues?

Cambridge Dictionary defines dues as "the official payments that you make to an organization you belong to". Its examples include annual dues, monthly dues and quarterly dues. The word is almost always plural: members pay dues, and the club sets what they are.

Because dues pay for the club's running costs, they repeat. That is the main thing that separates them from the other payments a member might make.

## How are dues different from other payments to a club?

- **Initiation fee.** A one-time charge when you join, in clubs that have one. Dues come back every period and an initiation fee does not.
- **One-off charge.** An extra payment for one specific cost that the regular dues do not cover. It is asked for once, not every period.
- **Donation.** Cambridge defines it as money or goods "given to help a person or organization". Dues are the payment for belonging, and a donation is a gift on top.
- **Fundraiser.** Cambridge defines it as "an event that people attend to make money for a political party, charity, etc." A club raffle is a fundraiser, and dues are not.

Clubs word these differently, so use the names in your own bylaws.

## What are four common ways to set dues?

Say a chess club with 24 members spends $480 a year. Each structure collects the same money in a different shape.

- **Flat annual.** Everyone pays once a year: $480 ÷ 24 = $20 a member.
- **Per term.** The same total over four terms: $480 ÷ 4 = $120 a term, and $120 ÷ 24 = $5 a member each term.
- **Per event.** Members pay for the sessions they attend. A tournament hall that costs $60 is $5 each for 12 entrants and $6 each if only 10 come, so the price moves with attendance.
- **Tiered by member type.** 16 regular members at $25 and 8 students at $10 raise $400 + $80 = $480.

## What do dues usually pay for?

Dues usually pay for a short list: space, insurance, supplies and events. Showing the list is how members see why the amount is what it is. For the chess club, the $480 might break down like this.

- **Space:** $240 for the room.
- **Insurance:** $120.
- **Supplies:** $60 for boards, clocks and score sheets.
- **Events:** $60 for tournament prizes.

Rounding up leaves a cushion. At $25 each, 24 members raise $600, which is $120 more than the $480 of costs.

## How do you keep track of who has paid?

A printable [club dues tracker](https://www.evenoutapp.com/templates/club-dues-tracker) is enough for a small club, and the [club budget template](https://www.evenoutapp.com/templates/club-budget) shows whether the dues cover the costs. For the collection side, see [how to collect club dues online](https://www.evenoutapp.com/guides/how-to-collect-club-dues).

In EvenOut the treasurer can add the dues as one expense paid by the treasurer, and use "Exact amounts" when the tiers differ. Each member then shows as owing the treasurer until "Settle up" records their payment. For annual dues, set Repeat to Yearly. For the rest of the treasurer's month, see [what a club treasurer does](https://www.evenoutapp.com/guides/club-treasurer-duties).

## Frequently asked questions

### How often should a club collect dues?

Cambridge Dictionary's examples are annual, monthly and quarterly dues, and the club decides which fits. Match the period to when the bills arrive. A room billed monthly suits monthly dues. A longer period means fewer reminders but a bigger payment for each member.

### What if someone joins part way through the year?

The club decides, and a simple rule is to charge the part of the year that is left. A member who joins at the start of month 7 of 12 on $20 annual dues pays 6 ÷ 12 × $20 = $10. Write the rule down before the first person asks.

### Are dues the same as a membership fee?

Dictionaries treat them as close. Collins, shown on Dictionary.com, defines dues as "charges, as for membership of a club or organization; fees". If your club uses both words for different things, its bylaws say which is which.
