Split each line the whole group uses equally among the riders: base rate and taxes, a second-driver fee, fuel, tolls and parking. For four friends, $410.40 of base and taxes, $72.00 for a second driver and $58.00 of fuel is $540.40, or $135.10 each. One person books, the others repay them, and a card hold stays out of the totals until it becomes a charge.

Key points:
- Four friends with $410.40 of base and taxes, $72.00 for a second driver and $58.00 of fuel owe $540.40 in all, which is $135.10 each.
- The booking sits under one person's name and card, so the others repay that person. Ask the rental company about payment cards and who must be on the contract before you book.
- A card hold is not a cost. In EvenOut, log it as Pending payment (Not counted in balances yet), then Confirm expense if it becomes a charge, or delete it if it is released.
- Settle five things before pickup: who drives, who pays any damage excess, the fuel rule, tolls and parking, and when repayments are due.

## How do you split a rental car between friends?

Split each line by who benefits from it. Nearly every line on a rental car benefits every rider, so they are shared equally among the people in the car. The table covers the lines on a typical booking.

| Line | Who pays | Why |
|---|---|---|
| Base rate and taxes | All riders, equally | Everyone uses the car for the whole booking |
| Second-driver fee | All riders, equally | Both drivers carry everyone |
| Fuel, including a full-tank return | All riders, equally | Split by distance only if someone leaves early |
| Tolls | The riders in the car at the time | Log each one when it is paid |
| Parking | The riders in the car at the time | Same rule as tolls |
| Damage excess | As agreed before pickup | Decide before the keys are handed over |

Say four friends book a car for $410.40 including taxes, add a second driver for $72.00 and return it with $58.00 of fuel. That is $410.40 + $72.00 + $58.00 = $540.40. Each person pays $135.10: $102.60 for the rate and taxes, $18.00 for the second driver and $14.50 for fuel.

## Who puts their card down, and what about the deposit?

The booking sits under one person's name and card, so that person fronts the money and the others repay them. Before you book, read the rental company's terms on payment cards and on who must be listed on the contract, and ask the company about anything the terms leave open.

If the company holds an amount on the booker's card, that hold is not a cost. Nobody owes a share of it until it becomes a real charge. In EvenOut, log it with "Pending payment", which is described as "A deposit or hold, not a final charge" and is "Not counted in balances yet". When the hold turns into a charge, open the expense and tap "Confirm expense", then type the final amount and every share re-splits to match. If the company releases it with nothing charged, delete the expense.

## What should you agree before pickup?

Agree these five things in one message, before anyone is at the counter.

1. **Who drives.** Name the drivers, and whether there is a second-driver fee on the booking.
2. **Who pays any damage excess.** It could be the driver at the time, or everyone equally.
3. **The fuel rule.** Return it full, whoever fills it logs the receipt, and fuel is shared by everyone who rode.
4. **Tolls and parking.** Whoever pays logs it within a day.
5. **When repayments are due.** The booking share right after booking, and fuel, tolls and parking at the end.

Fuel gets its own arithmetic when riders join or leave at different points. [How to split gas on a road trip](https://www.evenoutapp.com/guides/how-to-split-gas-on-a-road-trip) works through three methods with distances.

## How do you log a rental car in EvenOut?

Use a Trip group, so the car sits next to the rest of the trip.

1. **Set up the trip.** Create a group of the type "Trip" ("Travel and stays"). Tap "Add dates" to set "Starts" and "Ends", and EvenOut surfaces the trip while it is on.
2. **Log the booking.** Tap "Add expense", type $482.40 for the rate, taxes and second driver, and set "Paid by" to the person whose card made the booking. Leave the split on "Split equally". Attach one photo of the confirmation while you are adding it.
3. **Log the hold.** Behind "Photo, repeat, pending or note", choose "Pending payment" and give a reason such as "Rental car hold".
4. **Log fuel, tolls and parking** as they happen, using "Save & add another" for several in a row. Categories such as "Fuel" and "Parking" are built in. For a stop where someone was not in the car, tap their name to leave them out.
5. **Settle up at the end.** Tap "Settle up" to record each repayment, and use "Remind" for anyone who has not paid. A person can be reminded at most once a day.

A recorded payment is only a record, so the repayment itself happens through whatever you normally use. ## What should you do next?

Copy the table into a message to the group and fill in the numbers from the booking. Send it before pickup and ask for a thumbs up from each rider. ## Frequently asked questions

### What if one friend leaves before the trip ends?

Split the base rate by day. Say the $410.40 covers 4 days at $102.60 a day, and one friend leaves after 2 days. The first 2 days are $205.20 ÷ 4 = $51.30 each. The last 2 days are $205.20 ÷ 3 = $68.40 each for the three who stay. The one who leaves pays $51.30 of the base rate and each of the others pays $119.70.

### When should friends repay the person who booked?

Ask for the booking share as soon as the booking is final, and for fuel, tolls and parking at the end. In the example the booking and second driver are $482.40, which is $120.60 each. The $58.00 of fuel is $14.50 each, and $120.60 + $14.50 = $135.10.

### Who pays if the car is damaged?

Check the booking terms for what you owe the rental company. Between friends, write down before pickup who covers any excess named in the booking. If you agree to share it equally, a $400 excess is $100 each for four people.
