A group trip expense spreadsheet has two blocks. The log records each expense with its date, what it was, who paid, the amount, the currency and who shared it. The settle-up block totals what each person paid and their fair share for each currency, and the difference is who owes whom. In each currency the balances add up to zero.

Key points:
- Log every expense once, with the payer, the amount, its currency and who shared it.
- Balance equals what a person paid minus their fair share. In each currency the balances add up to zero.
- Total each currency on its own. If the group wants one currency, agree on one exchange rate and apply it only to the final balances.
- The sheet is quick for equal splits and slows down when many rows are shared by different people.

## How to use this template

The sheet has two blocks: a log where every expense goes in once, and a settle-up block that turns the log into who pays whom. Print both, or copy them into Excel or Google Sheets. The same layout works as a vacation expense tracker or a group travel expenses template.

1. **Log each expense the day it happens.** One row holds the date and what it was, who paid, the amount, the currency and who shared it. Write "All" and the headcount, such as "All 4", when everyone shared.
2. **Keep each row in one currency.** A trip with euros and dollars has rows in both, and the two are never added together.
3. **Total what each person paid.** For one currency, SUM the Amount cells in the rows that person paid. Filter the log by currency first, or in Excel use SUMIFS to match the payer and the currency in one cell.
4. **Work out each fair share.** For every row a person shared, divide the amount by the number of people who shared it, then add those up.
5. **Subtract.** Balance equals paid minus fair share. Paid more than the share means the person is owed money, and paid less means they owe it.
6. **Check, then settle.** In each currency the Paid column and the Fair share column must total the same number. People who owe then pay people who are owed, one currency at a time.

## The template

### Block 1: expense log

| Date and what | Paid by | Amount | Currency | Shared by |
|---|---|---|---|---|
| | | | | |
| | | | | |
| | | | | |
| | | | | |

### Block 2: settle-up (one copy per currency)

Currency: ______

| Person | Paid | Fair share | Balance |
|---|---|---|---|
| | | | |
| | | | |
| | | | |
| | | | |
| Total | | | Must be 0 |

## A filled example: four friends, two currencies

Ana, Ben, Cy and Dee travel together. The travel insurance was booked at home in dollars and everything on the ground is in euros. Ben skipped the museum.

| Date and what | Paid by | Amount | Currency | Shared by |
|---|---|---|---|---|
| Jun 1, travel insurance | Ana | 200.00 | USD | All 4 |
| Jun 6, airport taxi | Ana | 60.00 | EUR | All 4 |
| Jun 6, groceries | Ben | 84.00 | EUR | All 4 |
| Jun 7, dinner | Cy | 140.00 | EUR | All 4 |
| Jun 7, museum tickets | Dee | 45.00 | EUR | Ana, Cy, Dee |

In euros the taxi is 15 each, the groceries 21 each, the dinner 35 each and the museum 15 for the three who went.

| Person (EUR) | Paid | Fair share | Balance |
|---|---|---|---|
| Ana | 60.00 | 86.00 | owes 26.00 |
| Ben | 84.00 | 71.00 | owed 13.00 |
| Cy | 140.00 | 86.00 | owed 54.00 |
| Dee | 45.00 | 86.00 | owes 41.00 |
| Total | 329.00 | 329.00 | 0 |

In dollars, Ana paid the 200.00 insurance and each fair share is 50.00, so Ana is owed 150.00 and Ben, Cy and Dee each owe 50.00. Settling takes six payments: Dee pays Cy 41.00 EUR, Ana pays Cy 13.00 EUR and Ben 13.00 EUR, and Ben, Cy and Dee each pay Ana 50.00 USD. Cy owes Ana dollars and Ana owes Cy euros, and the sheet leaves them apart because netting them would need an exchange rate.

## What to agree on

### Who keeps the sheet

One person enters the rows, and everyone else sends amounts and receipts the same day. Two people typing into the same log is how an expense ends up in it twice.

### Currency codes

Write EUR or USD on every row, not only a symbol. The dollar sign is shared by several currencies, so a symbol alone does not say which one a row is in.

### One exchange rate, if any

Settling in one currency is fine if the whole group agrees on a single rate before anyone converts. Apply it once to the final balances, not row by row, so the rounding happens once.

### When the sheet stops being worth it

The sheet is fast while most rows are shared by everyone equally. A row shared by only some people, or split by percent or by item, needs its own hand calculation, and when most rows look like that an app does the same arithmetic faster. [EvenOut](https://www.evenoutapp.com/) offers five splits (equally, exact amounts, percent, shares or by item), keeps each expense in its own currency, with separate lines for each currency in a group's "Balances", and does not convert currencies, the same rule this sheet follows. People who are not on it yet can be added as guests, and expenses can be added offline.

If you are still planning, the [group trip budget template](https://www.evenoutapp.com/templates/group-trip-budget-template) comes first, and [how to split group trip expenses](https://www.evenoutapp.com/blog/how-to-split-group-trip-expenses) covers logging as you go and settling in the fewest payments. [The group trip expenses calculator](https://www.evenoutapp.com/tools/group-trip-expenses-calculator) runs the same arithmetic for an equal split in one currency.

## Frequently asked questions

### How do you split an expense that only some people shared?

Divide the amount by the number of people who shared it and give each of them that share. A $90 boat tour shared by 3 of 5 people is $30 each, and the other two have a share of $0 for that row.

### What if one person pays for everything?

Their paid total is the whole amount and everyone else's is zero, and the balances still add up to zero. With 5 travelers and a $1,200 rental on one card, each fair share is $240, so the payer is owed $960 and each of the other four owes $240.

### How do you handle cents that do not divide evenly?

Round each share to the cent and give the leftover cent to one person so the shares still add up to the total. A $100 expense among 3 people becomes $33.33, $33.33 and $33.34.
