# Roommate move-out checklist for money matters

A roommate move-out checklist for money lists every cost that changes when someone leaves: final rent, final utility bills, shared accounts, the deposit share, shared-item buyouts and a last settle-up. Give each row an owner and a date, and aim to finish the settle-up 7 days before the keys go back.

Key points:
- Fifteen money rows, each with a date and a name, so nothing is left to "we will sort it out at the end".
- Count back from keys day: dates and rent agreements 30 days out, accounts, deposit and buyouts 14 days out, netting and paying 7 days out.
- Net what each side owes into one number before anyone pays, so the leaver sends one payment instead of several.
- Cleaning and damage are not on this page. It covers money between roommates only.

## How to use this template

This checklist holds the money side of a move-out and nothing else. Work backward from keys day, the day the leaver hands back the keys.

1. **Write keys day at the top** and the final settle-up day, 7 days before it. The timing in the table is a suggestion, so shorten it if the move is sooner than 30 days away.
2. **Put one name in the Who column for every row.** A row that says "we" has no owner.
3. **Work in order.** Agreements on dates and rent come first at 30 days, then accounts, deposit and buyouts at 14 days, then adding up and paying at 7 days.
4. **Write the date you finished in the Done column,** or "n/a" on a row that does not apply.

Read your lease for what the landlord expects. This page is for what the roommates agree between themselves, and it is not legal advice.

## What to agree on

- **Rows 1 to 3, dates and rent.** The last day sets every other number, so settle it first. Rent for days present is the monthly share times days present, divided by days in the month. A $900 share with the 20th as the last day of a 30-day month is $900 x 20 / 30 = $600. Your lease or landlord may say whether to count real days or a fixed 30, and the [prorated rent calculator](https://www.evenoutapp.com/tools/prorated-rent-calculator) shows both. Who pays for the empty room is covered in [what roommates owe when one moves out early](https://www.evenoutapp.com/guides/what-roommates-owe-when-one-moves-out-early).
- **Rows 4 and 5, accounts and subscriptions.** A bill stays in the account holder's name until the account changes hands. If the leaver holds the internet account, decide who takes it over before the move.
- **Rows 6 and 7, deposit and buyouts.** Whatever the landlord does with the deposit, a leaver's share is a payment between roommates, with an amount and a date. The guide on [how to handle a leaving roommate's deposit share](https://www.evenoutapp.com/guides/roommate-moving-out-security-deposit) lays out four ways to route it. For the bigger pieces, price each one using [how to split furniture when a roommate moves out](https://www.evenoutapp.com/guides/how-to-split-furniture-when-a-roommate-moves-out).
- **Row 9, repeating bills.** A repeating expense keeps the same payer and split. In EvenOut, use "Stop repeating" on the old one (expenses already added stay) and add the next bill with the new split. A repeat set up by someone who has left the group can show "Paused · Needs attention".
- **Rows 10 and 11, net first, then pay.** Say Amara is leaving a two-person apartment. She owes Jules $41.25 for half of an $82.50 electric bill, $45 for half of a $90 internet bill and $20 to top up the grocery fund, which is $106.25. Jules owes her $30 for half of a $60 shelf she bought and he is keeping. The difference is $106.25 minus $30, or $76.25, in one payment. A week early leaves time to fix a number while everyone still lives together.
- **Rows 13 and 15, readings and last bills.** The settle-up uses the most recent bills as an estimate. When the real final bills arrive, split them by days present and settle only the difference.

When the household already logs shared costs in an EvenOut Household group, the Balances block shows your balance with each person, and "Settle up" records the payment you send. EvenOut records it and does not move the money.

## Frequently asked questions

### What if a utility bill arrives after the roommate has left?

Use the bill's service dates and split by days present, if that is what you agreed. A $60 bill for a 30-day period is $2 a day for the home. A leaver who lived there for 10 of those days and shared the home with two others owes $2 x 10 / 3 = $6.67. The forwarding address row is how the leaver hears about it.

### Do we still need a checklist if we track expenses in an app?

Yes. An expense app holds the balances, but accounts, subscriptions, meter readings and keys (rows 4, 5, 13 and 14) never appear in it. The deposit share on row 6 shows up there only after someone enters it.

### What if the leaver cannot pay the final amount in one go?

Write the parts beside row 11 with a date for each, for example $40 on keys day and $36.25 on the 1st of the next month for a $76.25 total, and have both people initial the plan. The IOU note template has a log built for that.

### Who should run the checklist?

Name one person per row in the Who column instead of one person for the whole page. A workable split is that the leaver takes the rows only they can do (forwarding address, meter readings, keys) and someone who is staying takes the account and repeating-bill rows.
