How to Split Expenses on a Group Trip

Group trips are the ultimate test of expense splitting. Someone books the Airbnb, someone else covers dinner, a third person grabs the rental car — and by day three, nobody remembers who paid for what. Here’s how to keep the money side invisible so you can actually enjoy the trip.

Before the trip: set the ground rules

  • Agree what’s shared. Lodging, transport, group meals, and activities everyone joins are shared. Personal souvenirs and solo coffees aren’t.
  • Pick one app and one group. Everyone logging into the same group is what makes it work. Decide before you leave.
  • Decide on a settle-up plan. Will you square up at the end of the trip, or as you go? Most groups settle once, at the end.

During the trip: log as you go

The single biggest mistake is “we’ll sort it out later.” You won’t remember. Log each shared expense the moment it happens — it takes ten seconds, and:

  • Snap the receipt. With AI receipt scanning you can capture a restaurant bill and let the app read the total and items, instead of typing.
  • Mark who was in. Not everyone joins every activity — split each expense only among the people involved.
  • Note the payer. Whoever paid gets credited; the app tracks the running balance.

Handle multiple currencies the easy way

If you’re crossing borders, log each expense in the currency you paid. Don’t do mental FX math at dinner — record “€48” and move on. EvenOut lets you pick from 150+ currencies for each expense and doesn’t convert them, so there are no surprise exchange rates.

Splitting unevenly is normal

Real trips aren’t perfectly equal:

  • The couple sharing a room counts differently than the solo traveler.
  • Someone skips the expensive excursion.
  • One person fronts a big deposit.

Use shares or exact amounts for these instead of forcing an equal split. It’s the difference between “roughly fair” and “actually fair.”

At the end: settle in the fewest payments

When the trip’s over, a good app will simplify the debts — instead of seven people sending money in every direction, it calculates the minimum set of payments (e.g., “Ana pays Ben $40, Chris pays Dana $25”). Everyone settles in a tap, and the trip ends on a good note.

Quick checklist

  1. One app, one group, agreed before you go.
  2. Log every shared expense as it happens — snap the receipt.
  3. Split only among who was involved; record the payer.
  4. Log foreign expenses in the currency you paid.
  5. Settle up at the end with simplified payments.
