How to collect money for a group gift
Quick answer
Have one person buy the gift and track each share in EvenOut, which is free, has no daily expense limit and adds people who are not on the app as guests. EvenOut records who owes what and sends reminders but does not move money, so people pay the buyer in cash or by request. If the money must come in first, use cash or a Cash App or PayPal pool.
Key points
- EvenOut tracks a gift with no fee of its own and no daily expense limit on the free plan. It records who owes, and it does not collect or move money.
- People who are not on EvenOut can be added as guests with "Add a guest", so their share is tracked before they sign up.
- If one person can buy first, a single Venmo request to several people splits the total evenly between them and you.
- Cash App Pools charge 3% on credit-card contributions and are personal use only. PayPal Pools hold up to $20,000, and the money belongs to the creator.
- PayPal lists group gifts as a pool use, but a pool cannot raise money for charity or other fundraising. Contributors need no PayPal account.

How do you collect money for a group gift?
Start with whether someone can pay for the gift first. If so, that person buys it and asks everyone else for their share, and EvenOut keeps the running tally. If not, use cash or a pool, which collects the money before the purchase. The table compares the five common ways as of October 2026. EvenOut records payments and never moves money, so it has no fees of its own.
| Way | What it does | Rules to know |
|---|---|---|
| Track it in EvenOut | The buyer logs one expense split among the people who chipped in | Free, with no fee of its own and no daily expense limit. People not on EvenOut can be added as guests. It does not collect or move money |
| Buy first, request money back | Venmo sends one request to several people, and Apple Cash group requests show who has paid | Venmo requests must be accepted before money moves. Apple Cash needs US residents aged 18 or older |
| Cash App Pools | A name and a goal amount, and contributors can pay with Apple Pay or Google Pay | 3% on credit-card contributions. Personal use only |
| PayPal Pools | Up to $20,000 per pool and 5 active pools per person, with no account needed to contribute | The money belongs to the pool creator. Not for charity or fundraising |
| Cash envelope | Everyone puts cash in, and the buyer spends it | No fees and no account. Everyone hands over cash in person |
How do you track a gift in EvenOut?
EvenOut keeps score of who has chipped in. It records who owes whom, and it does not collect money, move money or create payment links, so it has no transfer fees. A person who is not on EvenOut can be added as a guest, with their share tracked before they join. It fits the usual case, where the buyer pays first and the others pay them back however they like.
- Make a place for the gift. Create a group, such as an “Event” group named for the gift, and add the people who are chipping in. Anyone who is not on EvenOut can be added with “Add a guest”.
- Log one expense. Tap “Add expense”, type the gift price and choose “Paid by” the buyer.
- Split it among the people who chipped in. Choose “Equally” and tap anyone who is not contributing to leave them out (“Not in”). If people give different amounts, choose “Exact amounts” and type each.
- Record payments. When someone pays the buyer, tap “Settle up” and “Record payment”. It records the payment only.
- Remind people. Tap “Remind {name}” and choose “Email via EvenOut” or “Share a message”. A guest has no inbox, so use the shared message. EvenOut allows one reminder per person per day.
How does buying first and asking for money back work?
The buyer pays and asks each person for their share. As of October 2026, one Venmo request can go to several people at once: tap Pay/Request, pick the first person, tap the plus icon, add the others, tap Next, enter each person’s amount and a note, and tap Request. The total is split evenly between the people you request and you. If a gift costs $120.00 and you add 7 people, each is asked for $15.00, and the eighth share is yours.
Three details matter. The same note shows to everyone, and Venmo’s privacy setting can be Public, Friends only or Private, which you can change per payment, so for a surprise keep the note general. A request must be accepted before money is sent. And if someone’s phone number or email is not linked to a Venmo account, they can claim the payment or fulfill the request by opening one.
Apple Cash group requests work from a group conversation. You enter an amount or choose “Request Without Amount”, and a requests list shows who has paid. When everyone has paid, or you stop tracking, “Mark as Complete” ends it. Everyone in the request must be 18 or older and a US resident with Apple Cash set up. Venmo also needs a US bank account and a US location, and Cash App accounts are for US residents.
When does a pool make sense?
Use a pool when the money has to come in before the purchase, or when nobody wants to front it. Both pools below take contributions from people who do not have an account, as of October 2026.
- Cash App Pools. You need a name and a goal amount, and no deadline. Contributors can pay with Apple Pay or Google Pay without Cash App, and there is no fee to start a pool or to contribute from a Cash balance, but credit-card contributions cost 3%. Money cannot leave until the pool is closed, the organizer must have a verified identity, and Cash App’s terms limit Pools to personal use. New York residents must contribute with a Cash App account.
- PayPal Pools. The creator needs a PayPal Balance account, identity verification and an account in good standing. A pool can collect up to $20,000, and each person can have 5 active pools. “You don’t need a PayPal account to contribute,” and contributing from a PayPal balance or a US bank costs nothing, while card payments carry fees. Creating a pool is free. PayPal lists group gifts as a use for pools. Two rules apply: “All money in the pool belongs to the pool creator,” and “You cannot use a pool to raise money for charity or for other fundraising purposes.”
The creator holds the money in both cases, so pick someone everyone trusts. How Cash App Pools work and PayPal Pools each cover the rules in more depth.
What timeline and wording work for the ask?
Send the ask about two weeks before the gift is due and set the payment deadline a week before it. Send one reminder to people who have not answered, and buy the gift once the deadline passes. The group gift calculator works out the share when only some people will chip in. For example, for a $120.00 gift asked of 8 people, the share is $15.00 each, but if you expect 6 to pay, ask $20.00 each.
A sample message with every detail in it:
Hi all, we’re getting Marcus a gift for his last day on Friday, Nov 13. The total is $120, which is $15 each for 8 people. Please send $15 to me by Friday, Nov 6. Reply “in” so I can keep count.
A reminder a few days later can be one line: “Quick reminder about Marcus’s gift. I still need $15 from 3 people by Friday.”
For a workplace collection, office gift collection etiquette covers caps and envelopes, and how to ask coworkers to chip in has messages for that setting.
Frequently asked questions
What if someone does not pay?
Send one reminder and decide before you start whether the buyer will cover a shortfall. Venmo lets you remind the person from your pending requests. In EvenOut, 'Remind {name}' sends an email or a shared message, once per person per day. Say in the first message what happens if the total falls short, so a missing payment is not a surprise.
Do these apps charge to request or send the money?
As of October 2026, Venmo charges nothing to send from a balance, debit card or bank account and 3.00% when you send with a credit card. Receiving a personal payment is free, and 2.99% applies if the sender marks it goods and services. Apple Cash says there is no fee to send, receive or request. EvenOut has no transfer fees because it records payments and does not move money.
How long can a pool stay open?
As of October 2026, a Cash App pool needs only a name and a goal amount, and no deadline. A PayPal pool has an end date, and when it arrives the pool closes and contributions stop. The creator can extend the end date before it arrives, up to one year from the start date.
What if the gift costs less than the money collected?
Divide the leftover evenly or agree to put it toward the card. Say you collect $120.00 from 8 people and the gift costs $108.00. The $12.00 left over is $1.50 each.
