Fantasy football dues: collect, track and pay out
Quick answer
Set the buy-in, the payout structure and one named holder of the pot before the draft, and set a payment deadline a few days ahead of it. Collect from every manager, keep a list of who has paid, and pay the winners after the championship. In a 12-team league at $20, the pot is $240.
Key points
- Decide six things before the draft: buy-in, payout structure, deadline, pot holder, late rule and payout day.
- One named person holds the pot, and every manager can see the list of who has paid.
- Zelle payments cannot be reversed, and an unverified Venmo account is capped at $299.99 a week.
- In EvenOut, the commissioner adds the buy-ins as one expense and records each payment. EvenOut does not hold the pot or pay winners.

What should a league decide before the draft?
Six decisions, made in writing before the draft, cover the money. Put them in one message to all managers.
- The buy-in. One amount per team, for example $20.
- The payout structure. How many places are paid and how much each gets. See fantasy football payout structures for worked splits.
- The deadline. A date a few days before the draft.
- The holder. One named person who keeps the pot.
- The late rule. What happens to a manager who has not paid by the deadline.
- The payout day. A date shortly after the championship.
The pot is teams times buy-in. A 12-team league at $20 has a $240 pot.
What is the timeline for collecting dues?
Count back from draft day. The dates below are relative so they work for any league.
- Three weeks before the draft: send the message above and ask each manager to confirm they are in.
- One week before the draft: send one reminder to anyone who has not paid.
- Three days before the draft: the deadline. Update the list of who has paid.
- Draft day: apply the late rule to anyone still open, and tell the league the pot total.
- After the championship: the holder pays the winners on the payout day and posts the final list so every manager can see where the $240 went.
What should the tracker look like?
The tracker is one row per team, showing what each owes and whether it is paid. This made-up 12-team league has nine teams paid.
| Manager | Buy-in | Status |
|---|---|---|
| Ana | $20 | Paid Aug 21 |
| Ben | $20 | Paid Aug 21 |
| Carla | $20 | Paid Aug 22 |
| Dev | $20 | Open |
| Eli | $20 | Paid Aug 22 |
| Faye | $20 | Paid Aug 23 |
| Gus | $20 | Paid Aug 23 |
| Hana | $20 | Open |
| Ivan | $20 | Paid Aug 24 |
| Jo | $20 | Paid Aug 24 |
| Kai | $20 | Open |
| Lena | $20 | Paid Aug 25 |
Nine paid is $180 collected and $60 still open, which is three managers at $20. Everyone in the league should be able to see this list, because it answers “did you get mine” before anyone asks.
What if a manager has not paid by the draft?
Apply the late rule you wrote down, and recalculate the pot only if the spot stays unpaid. If the spot goes to a replacement who pays the same $20, the pot is still $240. If the team plays on without paying, the pot is $220, and the prizes should be worked out from the money actually collected.
For example, a 50/30/20 split pays $120, $72 and $48 from $240, and $110, $66 and $44 from $220. Tell the league which number applies before the draft, not after the season.
What should you watch for when payments arrive?
The league’s payment app matters less than two warnings. As of October 2026, Zelle answers “No” to whether a payment can be reversed, and a payment can be cancelled only if the recipient has not enrolled yet. A manager who sends to the wrong email or number cannot take the payment back if that person is already enrolled. On Venmo, an unverified account can spend $299.99 in a week. A $20 buy-in is nowhere near that, but a $300 buy-in is above it.
As of October 2026, Venmo also charges the receiving account 2.99% when the sender marks a payment as goods and services, which is about 60 cents on $20. Personal payments between Venmo users cost the receiver $0.00. The app-by-app limits and fees are on the fantasy football dues apps comparison.
How do you track it in EvenOut?
EvenOut keeps the list of who has paid, with balances, and the commissioner does the setup once. Say you are the commissioner of a 12-team league and you are holding the pot.
- Create a group and add the other 11 managers. Friends and guests can be added directly, and anyone else joins through “Invite with a link”. A manager who is not on EvenOut can be an “Add a guest” entry, which tracks their share now and lets them claim it later.
- Add one expense for $220 (11 managers at $20, since your own $20 is already with you), set to “Paid by you” and “Split equally”, and tap yourself out so you show as “Not in”.
- Each manager now owes $20, and your Balances list shows “{name} owes you” for each one.
- When a payment arrives, open Settle up and record it. The balance clears.
- For anyone still open, tap “remind” next to their name to share a message with a settle-up link or send an email, up to one a day per person.
EvenOut records payments and does not move money. It does not hold the pot or pay winners, so the commissioner still sends the prizes outside the app on payout day.
What to do next
Write the six decisions into one message and send it today. When the buy-ins arrive, update the list, and when the season ends, use the payout calculator to check that the prizes add up to the pot.
Frequently asked questions
What should the late-payment rule be?
Whatever the league agrees before anyone pays. One option is that an unpaid team loses its spot to a waiting list at the deadline. Another is a fixed late fee, say $5, added to the buy-in. Write the rule next to the deadline so a late payer is not a surprise.
Who should hold the pot?
One person, named in the sign-up message. The commissioner is an easy choice, but any manager the league trusts works. Splitting the money across several people makes it harder to say where the $240 is, so avoid it.
How do I record a manager who pays in cash or through a different app?
The same way as any other payment. In EvenOut, open Settle up, choose the manager and enter the amount. It records a payment and does not track how the money arrived.
What if a manager is not on EvenOut?
Use Add a guest and type their name. They show as a guest in the group and their share is tracked from the start. A guest has no inbox, so use Share a message instead of the email reminder.
