Shared subscription tracker template (printable)
Quick answer
A shared subscription tracker has one row per plan with the price and its date, billing period, seats allowed, seats used, who is billed, renewal date, each person's share and who has paid. Divide the price by seats used, not seats allowed, and write the renewal date with the month first so a sort puts the renewals in calendar order.
Key points
- Divide each price by seats used, not seats allowed. Spotify Family at $21.99 with 3 people is $7.33 each, not the $3.67 you get from dividing by 6.
- Write the price with its date and the billing period, because prices change and a yearly plan bills only once.
- Write the renewal month first (11-05) and sort that column to put the renewals in calendar order.
- Check every row: share each times seats used must equal the price, give or take a cent.

How to use this template
Fill in one row for each plan, in both tables. Print them, or copy them into Excel or Google Sheets, where the share can be a formula.
- Write the price with its date. Prices change, so the cell reads something like “$21.99 (Oct 2026)”. The date tells you when the figure last matched the company’s own page.
- Note the billing period. Month or year. A yearly plan bills once, and the person billed fronts the whole amount.
- Count seats allowed and seats used. Seats allowed is the plan’s cap. Seats used is how many people really share it, including whoever is billed.
- Divide by seats used. Share each equals the price divided by seats used, rounded to the cent. Spotify Family at $21.99 with 3 people is $7.33 each. Dividing by the 6 seats allowed would have the two others pay $3.67 each and leave the person billed with the other $14.65.
- Check the row. Share each times seats used must equal the price, give or take a cent. When a price does not divide evenly, one person pays a cent more or less so the row adds up.
- Sort by renewal. Write the renewal month first, such as 11-05 for November 5, then sort that column to put the renewals in calendar order. Read down from the current month to see which plan bills next.

A filled example with four plans
Say Priya, Sam, Tomas, Uma and Vic fill in four rows. The prices are US prices as of October 2026, before tax, from each company’s own page. The renewal dates and the number of people using each plan are made up.
| Service and plan | Price (as of Oct 2026) | Billing period | Seats allowed | Renewal |
|---|---|---|---|---|
| Spotify Premium Family | $21.99 | Month | 6 | 11-05 |
| YouTube Premium Family | $26.99 | Month | 6 (manager plus 5) | 11-12 |
| Netflix Standard plus 1 Extra Member | $19.99 plus $9.99 | Month | Household plus 1 Extra Member | 11-20 |
| Nintendo Switch Online Family | $34.99 | Year | 8 accounts | 03-02 |
| Service and plan | Billed to | Seats used | Share each | Paid so far |
|---|---|---|---|---|
| Spotify Premium Family | Priya | 3 | $7.33 | Sam yes, Vic no |
| YouTube Premium Family | Sam | 5 | $5.40 (one pays $5.39) | Priya and Uma yes, Tomas and Vic no |
| Netflix Standard plus 1 Extra Member | Tomas | 2 | $14.99 | Uma yes |
| Nintendo Switch Online Family | Uma | 4 | $8.75 (one pays $8.74) | Priya yes, Sam and Tomas no |
The shares are plain division. They are not prices the companies publish, and they assume every counted seat is really in use. Each row passes the check: 3 times $7.33 is $21.99, 4 times $5.40 plus one $5.39 is $26.99, 2 times $14.99 is $29.98, and 3 times $8.75 plus one $8.74 is $34.99.
What to agree on
- The household rules. As of October 2026, Spotify describes Family as for members “residing at the same address” and may ask you to verify it. YouTube’s terms say family members must reside in the same household as the family manager. Netflix says you may not share outside your household, and it sells an Extra Member slot for people outside it. Count only the seats the plan allows.
- Who is billed. As of October 2026, on Nintendo’s Family membership, if the person who bought it leaves the group, the other members lose service until they become members again. Pick someone who is staying.
- Who chases the money. Name one person to ask for shares each renewal, so nobody has to guess whose turn it is.
The same row in EvenOut
EvenOut has no data export, so the printable tables above are a separate record. If you keep the tracker in the app, each row becomes one expense. Type the price and name the plan, choose the Subscriptions category (one of 33, guessed from the description) and set “Paid by” to whoever is billed. Split it equally, tapping anyone who is not sharing to leave them out. Then open “Photo, repeat, pending or note” and set Repeat to Monthly or Yearly.
“Repeating expenses” lists each plan with its “Next on” date, which does the job of the renewal column. A repeat only adds the bill. “Settle up” records who has paid, and the money moves however you usually pay. How to track shared subscriptions and renewals has the full setup.
To compare plans before you add a row, shared subscription plans, prices and rules lists the sharing rules for each, and the shared plan cost per person calculator does the division for you.
Frequently asked questions
What if a seat sits empty or someone leaves?
Keep dividing by seats used. In the example, Spotify Family at $21.99 costs $7.33 each for 3 people. If a fourth person joins, it falls to $5.50 (one pays $5.49) from the next billing date. Tell people the share moves with the seat count, so a change never comes as a surprise.
How should a yearly plan like Nintendo's be tracked?
Enter Year as the billing period and divide the yearly price by seats used. $34.99 across 4 people is $8.75 each (one pays $8.74), or about $0.73 a month each. Ask for the money soon after the renewal date, because one person fronts the whole $34.99 at once and a yearly charge is easy to forget.
How do you track the Netflix Extra Member add-on?
Count it as its own seat. As of October 2026, Netflix Standard allows 1 Extra Member, and the add-on is $9.99 a month without ads. Standard at $19.99 plus $9.99 is $29.98, so two people pay $14.99 each. An Extra Member must be in the owner's country and watches on one device at a time.
