How to share Microsoft 365 Family and split the cost

5 min read By The EvenOut team

Quick answer

Microsoft 365 Family can be shared with up to five other people, so six in all, with 1 TB each. Personal cannot be shared. As of October 2026, Family costs $12.99 a month or $129.99 a year, which is $21.67 a year each at six people and $65.00 each at two. Invitees must stay in the owner's family group.

Key points

  • Family and Premium cover 1 to 6 people: the owner plus up to five others. Personal is for 1 person and cannot be shared.
  • Family is $12.99 a month or $129.99 a year. Two people pay $65.00 each a year, against $99.99 each on Personal.
  • A single user pays $30.00 more a year for Family than for Personal, so Family pays off from the second person.
  • Extended storage and Copilot AI features stay with the owner, so the group can agree that the owner covers a bigger share.

Who can you share Microsoft 365 with?

Only Family and Premium can be shared, and each covers 1 to 6 people. As of October 2026, the owner can share with up to five other people, and Personal, which is for 1 person, cannot be shared at all. Family gives each person 1 TB, up to 6 TB in total.

Plan Billed monthly Billed yearly People
Personal $9.99 $99.99 1
Family $12.99 $129.99 1 to 6
Premium $19.99 $199.99 1 to 6

Prices are US dollars before tax.

How do you invite people?

The owner invites each person from the Microsoft 365 sharing page in their Microsoft account.

  1. Open the sharing page under Services & subscriptions and select Share.
  2. Choose Email invite, enter the person’s address and select Invite. Or choose Create link and select Copy link to send it yourself.
  3. With an email invite, the person selects Get started in the email, then Join now to accept and join your family group.

Invitees must stay in the owner’s family group. Extended storage options and AI features like Copilot in Word, Excel, PowerPoint and Outlook are only available to the owner, so they are not part of what members get.

How much does each person pay?

Each extra person lowers everyone’s share, because the plan price does not change. These figures are plain division of the Family price and assume every seat is used, so they are not prices Microsoft charges members.

People Each a month, billed monthly Each a year, billed yearly
2 $6.50 $65.00
3 $4.33 $43.33
4 $3.25 $32.50
6 $2.17 $21.67

At six people on yearly billing, the same $129.99 comes to about $1.81 per person per month. The shares are rounded to the cent, so they do not always add up to the exact bill. Four people sharing $129.99 pay $32.50, $32.50, $32.50 and $32.49, and EvenOut shares out the odd cent the same way.

When does Family beat Personal?

Family beats Personal from the second person. Two people on separate Personal plans pay $199.98 a year, and one Family plan costs $129.99, so sharing saves $69.99. Each of them pays $65.00 instead of $99.99. A single user is the other case: Family costs $30.00 more a year than Personal ($129.99 against $99.99), so one person who will not share should stay on Personal.

Premium costs $7.00 more a month than Family and $70.00 more a year ($199.99 against $129.99), for the same 1 to 6 people. At six people that is $33.33 each a year on Premium against $21.67 on Family. Split a Premium bill the same way, once everyone agrees they want what it adds.

How do you split it unevenly?

Because extended storage and Copilot stay with the owner, the group can agree that the owner covers a bigger share. Say four people share Family for $129.99 a year and agree that the owner pays 40% and the other three pay 20% each. Forty percent of $129.99 is $51.996, so the owner pays about $52.00 and each of the others about $26.00, with a cent adjusted so the total stays $129.99. An equal split would be about $32.50 each, so the owner pays about $19.50 more and each of the others about $6.50 less.

In EvenOut that is the “By percent” option. You type the percentages, each person’s dollar amount shows under their name, and the pill reads “Adds up to 100%” when they total 100.

How do you track it in EvenOut?

EvenOut records who paid and who owes, so the owner does not have to keep a spreadsheet. It does not collect money.

  1. Create a group (the type “Household” fits) and add the people. Anyone who has not joined EvenOut yet can be added as a guest and invited later.
  2. Tap “Add expense”, type 129.99, name it “Microsoft 365 Family” and choose the Subscriptions category. Set “Paid by” to the owner and choose “Split equally” or your agreed percentages.
  3. Open “Photo, repeat, pending or note”, choose “Repeat” and pick “Yearly” (or “Monthly” if you pay monthly). The expense you save is the first one, and EvenOut adds each later one for you. This needs a connection.
  4. When someone repays the owner, open “Settle up” and record the payment.

If you move from monthly to yearly billing, open “Repeating expenses”, choose “Stop repeating”, and add the next bill with the new Repeat setting.

Next step

Compare Microsoft with other plans in shared subscription plans, prices and rules, or try other seat counts in the shared plan cost per person calculator. If storage is the main reason you share, how to share Google One storage shows how that limit works. Once the yearly repeat is set, tracking shared subscriptions and renewals keeps the date from surprising anyone.

Frequently asked questions

How long does an invitation to the family group last?

The person has 48 hours to accept, and you see Pending invite in your subscriptions dashboard until they do. The plan's benefits become available to them only after they select Join now.

Is yearly billing cheaper than paying monthly?

Yes. Twelve months of Family at $12.99 come to $155.88, and the yearly price is $129.99, so yearly saves $25.89. On Personal the same comparison is $119.88 against $99.99, a saving of $19.89.

Can someone who is already in another family group join?

Only after leaving it. Microsoft says sharing works only while the person stays in your family group, so someone in another family group must leave that one first. A person who joins through your invitation cannot share the subscription onward.

Can EvenOut remind someone to pay their share?

Yes, by email or a message you share yourself. Tap remind on their row in Balances, or choose Send a reminder in the group menu. EvenOut sends at most one reminder per person per group or friend each day, and it does not send push reminders.
